It began as a short-term solution. Pend Oreille Surgery Center (POSC) was faced with a temporarily leaderless business office when their ASC business office manager stepped away on medical leave. Fortunately, the facility relies on AmkaiEnterprise for management and EMR system solutions and found in2itive Business Solutions listed on the company’s “Partners” page. The facility director reached out to us and we were delighted to pitch ourselves as a simple yet professional interim fix, just to keep things running smooth on the accounts receivable front.

The executive director was open to our suggestions but protective of POSC’s business office; they had invested a great deal of time and money to bring accounts receivable efforts and business office processes in-house and were not looking to outsource full-time.

We assured her this was not a problem—in2itive is happy to offer short-term contracts for clients just like POSC.

By the time we arrived, the business office manager was already on leave and POSC was struggling to keep up with internal bills, due largely to inaccurate cash flow. So our first order of business made itself apparent: catch up on all billing efforts, including insurance claims and patient billing, and then tackle some of the more dated accounts receivable.

How we got it done

For the first month we focused every effort on clean-up. Here’s how we broke it down:

  • Improve consistency in day-to-day billing, including payment posting
  • Start collecting on 90+ day accounts and maintain consistent account follow up
  • Send patient statements in a timely manner
  • Consistently evaluate billing office performance
